Vivobarefoot wanted to streamline the inbound shipment management within the NetSuite platform by automating the system to manage diverse scenarios. Vivobarefoot also sought a solution to manage both partial and complete receipts seamlessly, marking containers fully received only after processing all other line items.
Challenges faced by Vivobarefoot
- To update inbound shipment records in NetSuite, the system required manual intervention, leading to errors and delays
- Required automated marking of received containers only after all items were updated
- Issues updating inbound shipment transactions for specific line items
- Required a flexible yet robust solution for integration with diverse platforms and 3PL providers
How NeosAlpha Helped?
1. Inbound Shipment Process Automation
Vivobarefoot wanted an automated way to update inbound transactions on NetSuite for specific line items based on business logic. This task required updating fields like received item quantity, received locations, and dates.
Solution – We developed a custom Restlet script to address these updates. The script updated the line items based on warehouse-provided details, automatically marked the “received” checkbox for received items, and when all the items were updated, marked the entire container as received.
Technologies Used: NetSuite Restlet API for custom scripting and SFTP protocol for file transfer
2. Error Handling and Validation
Vivobarefoot wanted to ensure compliance along with business logic to maintain the integrity of data.
Solution – To handle errors, NeosAlpha rejected updates for line items that were already received in full and prevented duplicate updates to ensure the accuracy of records on NetSuite.
Technologies Used: Custom validation scripts and Saved searches for data accuracy
3. SFTP-Based Synchronization
Looking to automate the retrieval and processing of receipt notifications from the Warehouse Management System.
Solution – We configured the Boomi to retrieve files from the server using SFTP. And then our developer loaded the data on NetSuite to get real-time updates from WMS.
Technologies Used: Boomi Integration and SFTP protocol for data exchange
4. Business Scenarios Implementation
Required a solution to manage complex scenarios like partial receipts, multiple updates on a single container, and then locking the container after the completion of the receipt.
Solution – Our developers developed a custom logic to handle all the partial and incremental updates and also ensured that containers that are marked as received could no longer be edited.
Technologies Used: Custom User Event Scripts for Different Scenarios and MapReduce Scripts
Key Technologies Used
- NetSuite Restlet API – For custom scripting and to handle complex receipt scenarios.
- SFTP Protocol – To transfer files and data exchange.
- Custom Scripts (User Event, MapReduce) – For automated data handling and ensuring compliance.
Results
- Through automated inbound shipment handling, we’ve reduced the processing time and streamlined the entire process.
- Eliminated the errors in manual data entry and line item tracking.
- Enhanced operational control by prohibiting the edits on final received containers or lines to maintain data integrity.
- Enabled the seamless processing for diverse scenarios like multiple receipts for containers and lines.
