Automating Supply Chain and Order
Operations for a Global Beverage Manufacturer Using Workato
Client Overview
Our client is a multinational beverage manufacturer specializing in the production of private-label and branded soft drinks, juices, and energy beverages for leading retailers and consumer brands across Europe and North America. The company operates multiple production facilities and supports a large distribution network that serves major retail chains and beverage partners in several international markets.
Business Objective
The client aimed to improve supply chain efficiency and operational visibility by integrating its core business applications through an automation and integration platform. The objective was to streamline order processing, automate data exchange between production, ERP, and logistics systems, and ensure accurate inventory and fulfillment information across teams. By automating these workflows, the company sought to reduce manual coordination across departments and create a scalable integration framework capable of supporting growing production volumes and increasing distribution complexity.

Challenges
Disconnected Supply Chain
Production planning, ERP, and logistics systems operated independently, leading to fragmented information across departments.
Manual Order Coordination
Operations teams manually transferred order and production data between systems, increasing the risk of delays and errors.
Limited Inventory Visibility
Sales and planning teams lacked real-time visibility into inventory levels and production availability across manufacturing plants.
Slow Response to Demand
Changes in customer demand required manual adjustments across multiple systems, making it difficult to respond quickly.
Scalability Issues
As the business expanded across new markets and retailers, the existing manual processes could not support the growing transaction volumes.

ERP and Production System Integration
We integrated ERP platforms such as SAP S/4HANA and Oracle NetSuite with manufacturing planning tools to ensure seamless coordination between demand and production. Customer demand captured as Sales Order objects in the ERP was automatically transformed into Production Order objects within the manufacturing system, while forecast data (Forecast objects) was mapped into Production Plans. This enabled production teams to operate with accurate, real-time demand inputs without manual intervention.
Automated Order Processing
Our team automated the intake and processing of customer orders coming from retail systems, eCommerce platforms, and EDI channels. Order data received in formats such as EDI 850 or JSON payloads was automatically converted into Sales Order objects within ERP systems like SAP S/4HANA or NetSuite, with SKU-level details mapped into corresponding line item objects. This eliminated manual data entry, reduced errors, and significantly accelerated the order validation and processing cycle.
Inventory Synchronization Across Plants
To address fragmented inventory visibility, we implemented real-time synchronization of inventory data across multiple manufacturing plants and warehouse systems. Inventory data received via APIs or batch files (CSV formats) from plant systems was transformed into standardized Inventory Item and Stock Ledger objects in the ERP, while plant-level stock data was aggregated into a centralized inventory view. This ensured that operations, sales, and planning teams had consistent and up-to-date visibility into stock levels and production availability across all locations.
Logistics and Shipment Automation
NeosAlpha connected ERP systems with third-party logistics (3PL) providers to automate shipment creation and tracking. Delivery Order objects generated in ERP systems were transformed into Shipment Request objects within logistics platforms, while shipment updates received in formats such as EDI 214 or API-based status messages were mapped back into Delivery Status objects in the ERP. This enabled faster coordination between warehouses and transportation partners, improving shipment accuracy and delivery timelines.
Operational Alerts and Exception Handling
To improve responsiveness across the supply chain, NeosAlpha implemented automated workflows that monitored key operational events and triggered alerts. Inventory threshold data was used to generate low-stock alerts, while shipment status updates from logistics systems triggered delay notifications, and production system events flagged potential bottlenecks. These events were captured and reflected in ERP dashboards, allowing teams to proactively address issues rather than reacting after delays had already impacted operations.
