Modernizing Workato Environment Management with Enterprise Integration Governance for a Beverage Technology Company

Client Overview

A beverage technology company known for its smart, bottleless water dispensers that deliver filtered, customizable still and sparkling water for workplaces and commercial spaces. Its solutions help organizations reduce reliance on bottled beverages while offering a more sustainable and personalized hydration experience.

The company combines connected hardware, digital technology, and real-time machine data to support operations, service, and customer experience across its growing customer base. As company continued to scale, its enterprise systems and integration needs expanded across business functions, requiring a more structured approach to platform governance and integration management.

Business Objective

The company sought to transform its existing Workato workspace into a structured, governed integration platform to support future business growth.

The objective was to establish a controlled DEV, TEST, and PROD deployment model, improve governance, optimize the existing integration estate, strengthen operational visibility, simplify release management, and create a scalable foundation for future CI/CD automation and enterprise integration delivery.

Challenges

Complex Production Workspace

The existing Workato production environment contained hundreds of recipes, projects, folders, connections, lookup tables, and shared assets. Development, testing, archived, and production integrations existed within the same workspace, making it difficult to distinguish active business processes from legacy assets.

Limited Release Governance

Changes were occasionally made directly within the production environment, while deployments relied on manual movement of recipes and connection updates. This increased deployment risk and made change management more difficult as integration volumes continued to grow.

Inconsistent Workspace Organization

Projects were primarily grouped by application rather than release lifecycle, making it challenging to organize assets that should be promoted together across environments and increasing future deployment complexity.

Operational Visibility & Asset Management

The organization lacked a comprehensive inventory of production assets, dependencies, shared components, and integration relationships. This limited visibility made governance, support, and future modernization initiatives more difficult.

Preparing for Future CI/CD

While orginization planned to introduce CI/CD and source control in the future, the existing integration estate first required standardization, governance, and environment separation before automation could be successfully adopted.

Looking to Modernize Your Workato Environment?

As integration platforms grow, maintaining governance, deployment control, and operational visibility becomes increasingly challenging. We help organizations modernize Workato environments by implementing scalable governance frameworks, controlled deployment models, and integration best practices that support long-term business growth.

Solutions

Enterprise Integration Assessment

Our Workato experts conducted a comprehensive assessment of company's existing Workato estate, reviewing projects, recipes, connections, folders, lookup tables, shared assets, and integration dependencies. Every asset was classified according to its business purpose, operational status, and deployment readiness, providing the organization with a complete inventory of its integration landscape.

Environment Strategy & Governance Design

Working closely with company's technical stakeholders, our Workato consultants designed a governed DEV, TEST, and PROD operating model aligned with Workato Environment capabilities. The solution established standardized project structures, connection management, role-based access controls, deployment governance, and release management processes, reducing operational risk and improving consistency across environments.

Workspace Optimization & Asset Rationalization

The production workspace was systematically reviewed to identify inactive, duplicate, development, testing, and deprecated assets. Approved cleanup activities improved workspace organization while protecting business-critical integrations and maintaining dependency integrity. This created a cleaner and more manageable integration environment without disrupting production operations.

Controlled Environment Enablement

We enabled a structured DEV → TEST → PROD deployment model using Workato Environment capabilities. Projects, connections, dependencies, and user access were configured to support controlled deployments, standardized release processes, and improved operational governance while minimizing manual deployment effort.

Future CI/CD Readiness

Beyond immediate environment modernization, the integration framework was designed to support future adoption of CI/CD automation, GitHub integration, release governance, and Workato Automation Accelerator capabilities. This established a scalable foundation for continuous delivery and long-term platform evolution.

Results

Established a Governed Integration Environment

They successfully transitioned towards a structured DEV, TEST, and PROD operating model, improving deployment governance, reducing production risk, and enabling more controlled release management across its Workato environment.

Simplified Integration Asset Management

The integration estate was organized into a more structured and manageable environment, providing better visibility into recipes, projects, connections, lookup tables, and shared assets. This simplified ongoing maintenance and reduced operational complexity.

Faster & More Reliable Deployments

By defining standardized deployment processes and promoting changes through DEV → TEST → PROD, the organization established a more predictable release model that reduced manual effort and minimized the risk of production issues.

Improved Governance & Operational Visibility

A comprehensive asset register, dependency mapping, standardized documentation, and role-based access controls strengthened governance while providing greater visibility into integration assets, ownership, and deployment dependencies.

Reduced Operational Effort

Standardized project structures, improved workspace organization, and controlled environment management reduced implementation effort and administrative overhead, enabling teams to deliver integration projects more efficiently and accelerate overall delivery timelines.

Future-Ready Integration Platform

The modernized Workato environment established a scalable foundation for future CI/CD automation, source control, release governance, and enterprise integration best practices, enabling the orginization to continue scaling its integration landscape with confidence.
