Challenges
Disconnected Systems
Sales teams managed accounts and opportunities in Salesforce while finance and operations relied on NetSuite, resulting in inconsistent data across platforms.
Manual Order Processing
Sales representatives manually re-entered order details into NetSuite after closing deals in Salesforce, increasing the risk of data entry errors.
Limited Visibility
Sales teams lacked real-time visibility into order status, shipment updates, and invoice information.
Poor Coordination
Operations teams received delayed or incomplete order details, which slowed order fulfillment and shipping.
Scalability Concerns
As the distributor network grew globally, manual processes could not scale efficiently.

Customer Data Synchronization
We implemented real-time synchronization between Salesforce and NetSuite to ensure consistent customer data across systems. When an Account or Contact was created or updated in Salesforce, the integration automatically created or updated the corresponding Customer and Contact records in NetSuite. This eliminated duplicate records, maintained a single source of truth, and ensured that both sales and finance teams operated on accurate and aligned customer information.
Opportunity to Sales Order Automation
To streamline order creation, our team automated the conversion of Salesforce Opportunities into NetSuite Sales Orders. When an opportunity reached the closed stage, Workato triggered the creation of a Sales Order in NetSuite, including all relevant details such as customer information, product SKUs, quantities, and pricing. This removed the need for manual data entry, reduced processing delays, and minimized the risk of human error.
Product and Inventory Synchronization
NeosAlpha enabled seamless synchronization of product and inventory data from NetSuite into Salesforce, allowing sales teams to access up-to-date product information directly within the CRM. Product records, pricing details, and inventory availability were automatically reflected in Salesforce, ensuring that sales representatives could provide accurate information to customers without relying on operations or finance teams.
Real-Time Order and Fulfillment Visibility
To improve cross-functional visibility, we implemented automated workflows that pushed order lifecycle updates from NetSuite back into Salesforce. This included updates on order status, fulfillment progress, shipment details, and invoicing information. As a result, sales teams gained real-time insight into order progress, enabling faster customer communication and reducing internal dependencies.
Logistics and Shipment Integration
Our team integrated NetSuite with third-party logistics platforms to automate shipment processing and tracking. Shipment requests were automatically generated from NetSuite and sent to logistics providers, while tracking updates and delivery confirmations were synchronized back into the system. This ensured seamless coordination between warehouse, logistics, and operations teams while improving overall fulfillment efficiency.
Automated Alerts and Exception Handling
To enhance operational control, NeosAlpha configured automated alerts and exception-handling workflows within Workato. The system monitored key events such as failed order creation, shipment delays, and inventory shortages, triggering real-time notifications to relevant teams. This proactive approach enabled faster issue resolution, reduced operational risks, and improved overall system reliability.
